Extra fields a fire-fighting and fire alarm contractor invoice needs
System and zone
Hydrant, sprinkler, alarm and suppression systems are tested and approved separately. Billing by system and zone helps the fire officer and the building owner match invoices to the approved fire plan.
Pipe diameter, schedule and length
Fire mains use heavy-class MS or GI pipes of specified schedules. Recording diameter, class and length supports the quantity and the hydraulic design.
Pump capacity and head
Main electric, diesel and jockey pumps are specified by flow and head. Listing these with serial numbers is essential for maintenance and audits.
Extinguisher type and refill due date
ABC powder, CO2 and foam extinguishers have different uses and refill cycles. Printing type, capacity and next refill date makes the invoice a compliance record.
Fire NOC or approval reference
Occupancy depends on a fire NOC. Quoting the application or NOC number on the final invoice links your work to the approval.
Hydraulic test and commissioning
Pressure tests and commissioning trials prove the system works. Referencing test reports on the invoice documents that the system was handed over in working order.
Standard GST invoice fields
Rule 46 of the CGST Rules applies to every tax invoice, including this one:
✓Supplier name, address and GSTIN
✓Consecutive invoice number (max 16 characters, unique for the year)
GST rules that matter for a fire-fighting and fire alarm contractor
Installation services and codes
The SAC annexure includes fire alarm installation within 995461, electrical installation services including fire alarm and burglar alarm installation. Hydrant and sprinkler piping systems are commonly billed under 995468, other installation services, or under the plumbing code where they are part of the water supply network. When the contractor supplies pipes, pumps and devices and installs them in the building, the contract is a works contract taxed at 18%.
Equipment rates after September 2025
Notification 9/2025 lists mechanical appliances for projecting or spraying liquids, including fire extinguishers whether or not charged, under 8424 in Schedule II at 18%. Power-driven pumps for handling water under 8413 are at 18%, as are electric sound and visual signalling apparatus such as fire alarm panels under 8531, and MS and GI tubes under 7306. The Schedule I entry for 'sprinklers; drip irrigation system' at 5% sits alongside agricultural irrigation equipment; fire sprinkler heads should be classified carefully before any concession is applied.
Refilling and maintenance of extinguishers
Refilling an extinguisher is a service under maintenance and repair codes at 18%, even if fresh powder or CO2 is consumed. Annual maintenance contracts for fire systems are also at 18%. Show the refill date and next due date on the invoice; many buildings use your bills as their compliance register during fire audits.
Credit for the building owner
Fire systems installed in a commercial building are part of its services. Section 17(5)(c) and (d) block credit on works contracts and goods used for construction of immovable property on own account, though portable extinguishers, which are movable, are generally eligible for credit where used for business. Invoicing portable items separately helps business clients claim what they are entitled to.
Government buildings and TDS
Hospitals, schools and offices owned by Government often award fire-safety contracts. For contracts above ₹2.5 lakh, the department deducts 2% GST TDS. Include the department's GSTIN for TDS on the invoice and reconcile GSTR-7A credits.
E-way bills for pumps and pipes
Fire pumps and pipe bundles moving to site usually exceed ₹50,000 and need an e-way bill, whether sold or moved under your own works contract on a delivery challan.
Common billing mistakes
✕Applying the 5% irrigation sprinkler rate to fire sprinkler systems without checking classification.
✕Billing portable extinguishers inside the works contract lump sum, blocking the client's eligible credit.
✕Raising refill invoices without type, capacity and next due date, so they are useless for fire audits.
✕Leaving out pump serial numbers and test reports from the completion invoice.
