GST invoice format for a computer training institute

A private computer institute running courses such as Tally, programming, graphic design or office skills supplies commercial training under SAC 999293, taxed at 18%, because its certificates are not qualifications recognised by law. Beyond the standard fields, its fee invoice should show the student's name and enrolment number, the course and batch, duration, the instalment being billed, any study kit or software included, and the refund policy. Fees collected in advance are taxable on receipt, so receipt vouchers matter as much as the final invoice.

Extra fields a computer training institute invoice needs

Student name and enrolment number
Each student has a unique enrolment or roll number. Printing it on every fee invoice links all instalments to one admission and makes refunds, transfers and certificates easy to trace.
Course name, batch and timing
List the course, batch code and timing, such as Advanced Excel, weekend batch, 10 am. Two courses from the same institute may be billed differently, and the batch shows when the service is delivered.
Course duration and start date
Duration, such as three months from 1 November, defines the period the fee covers. It helps if a student drops out and the institute has to work out a partial refund and credit note.
Instalment number and outstanding balance
Most institutes allow two or three instalments. Showing which instalment is billed, the total course fee and the balance due prevents disputes and keeps advance tax payments traceable.
Study material and software access
If books, a practice software licence or exam vouchers are bundled, mention them on the invoice. It shows what the fee includes and whether anything is being sold separately at its own rate.
Certification body
State whose certificate the student will receive, the institute's own or an external vendor's exam. It supports the classification as commercial training rather than recognised education.

GST rules that matter for a computer training institute

Why private computer courses are taxable

The education exemption in Notification 12/2017-Central Tax (Rate) covers services by an educational institution to students as part of a curriculum for obtaining a qualification recognised by law, plus certain approved vocational schemes. A diploma issued by a private institute, or a certificate for a software skill, is not such a qualification. Commercial training and coaching services under SAC 999293 are therefore taxed at 18%, and the fee invoice must show the GST separately. Only courses that genuinely fit an exemption entry, such as those run under specified government skill schemes, can be billed without GST.

Advance fees and receipt vouchers

Students often pay the full fee at admission for a course starting next month. Since GST on services is due when payment is received, the institute must issue a receipt voucher with tax on the date of collection and pay that tax in the period it was received. When the course starts, the tax invoice adjusts the advance. Institutes that only issue a plain fee receipt fall behind on tax and struggle to reconcile later.

Refunds when a student drops out

If a student leaves and part of the fee is refunded after the invoice has been issued, issue a credit note against the original invoice to reduce the taxable value. If no invoice has yet been issued and the advance is refunded, a refund voucher reverses the tax paid on the advance. Non-refundable registration fees remain taxable and stay on the books.

Books and kits sold separately

Printed books under heading 4901 are listed as exempt in Notification 10/2025-Central Tax (Rate), while brochures and leaflets of 4901 are a separate 5% entry. If a printed course book is sold separately at its own price, bill it on its own line at nil. If they are included in the course fee as one price, the whole fee is a composite supply of training and is taxed at 18%, because training is the principal supply.

Common billing mistakes

  • Issuing a plain fee receipt without GST because the institute calls its course a 'diploma', even though the diploma is not a qualification recognised by law.
  • Paying GST only when the course begins, months after the full fee was collected at admission.
  • Refunding fees to a dropout without a credit note or refund voucher, so tax already paid is never adjusted.
  • Splitting a bundled workbook out as a nil-rated line while still charging the same all-in course price, which lowers the taxable value of the training.

Computer training institute GST invoice: FAQ

What is the GST rate on computer coaching?

18%. Commercial training and coaching services under SAC 999293 are taxed at 9% CGST and 9% SGST.

Is a computer institute affiliated to a university exempt?

Only the courses that lead to a qualification recognised by law, delivered as part of the curriculum, can be exempt. Other short courses run by the same institute remain taxable at 18%.

Do I need to register below Rs 20 lakh fees?

No, registration is required once aggregate turnover crosses Rs 20 lakh in most states. Below that you may stay unregistered and charge no GST.

How do I bill a corporate training batch?

Raise one invoice to the company for the batch, listing the course, number of participants, dates and per-head fee, with the company's GSTIN and place of supply. Training delivered at the client's premises in another state may need IGST, so record the location.

Can students claim credit on my invoice?

Individual students usually cannot. Companies that sponsor employee training can, so capture the company's GSTIN on the invoice when it pays.
