To accept UPI as a business, open a merchant (P2M) UPI account through your bank or a payment aggregator, then display a QR code or send payment links with invoices. Per NPCI's FAQ, from 15 October 2026 an MDR of 0.4% applies to P2M UPI payments above ₹2,000, capped at ₹300 at ₹75,000 and above. Record each payment against its invoice using the UTR.
UPI has become the default way many Indian customers pay, from a ₹40 tea to a ₹4 lakh invoice from a distributor. For a business, accepting UPI is easy; doing it in a way that keeps your books clean, your costs known and your cash reconciled takes a little more planning.
This guide covers how merchant UPI works, what it now costs, how to put UPI on your invoices, and how to reconcile payments so nothing goes missing.
How does UPI work for a business?
UPI (Unified Payments Interface), operated by NPCI, lets money move instantly between bank accounts using a virtual payment address (VPA), a QR code, or a mobile number. For businesses, the relevant category is person-to-merchant (P2M): a customer paying a business, as opposed to person-to-person (P2P) transfers between individuals.
A business accepts P2M payments through an acquirer, which is either:
- Your bank, offering a merchant UPI account with a business VPA and QR code, or
- A payment aggregator, which can also add payment links, cards and net banking in a single checkout.
Money reaches your bank account according to the settlement cycle in your merchant agreement, which you should check before you start.
What does accepting UPI cost from 15 October 2026?
For years, P2M UPI had effectively no merchant discount rate. That changed. NPCI's FAQ on MDR on select UPI P2M transactions, dated 15 September 2026, states:
| Transaction value (P2M) | MDR |
|---|---|
| Up to ₹2,000 | No impact (no new MDR) |
| Above ₹2,000 | 0.4% |
| ₹75,000 and above | Capped at ₹300 per transaction |
The framework takes effect from 15 October 2026, according to the same FAQ. NPCI also states that MDR is decided by the UPI and Services Steering Committee headed by NPCI, and compares it with debit card MDR capped up to 0.90% and credit card MDR typically between 1.5% and 2.5%.
Worked example: monthly UPI cost for a wholesaler
A Nashik electrical wholesaler receives these UPI payments in November 2026:
| Payment type | Count | Value each | MDR per payment | Total MDR |
|---|---|---|---|---|
| Small counter sales | 300 | ₹1,500 | ₹0 | ₹0 |
| Medium orders | 80 | ₹12,000 | 0.4% = ₹48 | ₹3,840 |
| Large invoices | 6 | ₹1,20,000 | 0.4% = ₹480, capped at ₹300 | ₹1,800 |
| Total | ₹5,640 |
Total UPI receipts are ₹4,50,000 + ₹9,60,000 + ₹7,20,000 = ₹21,30,000. MDR of ₹5,640 is about 0.26% of receipts, because small payments are free and the cap protects large invoices.
Recording MDR in your books
Your settlement will be net of MDR (and any GST your acquirer charges on its fee, which will appear on the acquirer's own invoice). Do not reduce the customer's invoice amount. Record:
- The full invoice amount as received from the customer, and
- The MDR as a bank or payment charges expense.
Otherwise the customer's ledger shows a small unpaid balance on every invoice above ₹2,000.
How do you set up UPI collection for your business?
- Choose your acquirer. Compare your bank's merchant UPI with payment aggregators on settlement time, reports, payment links and support.
- Complete merchant onboarding (KYC). Expect to provide business proof such as GST registration or other documents your acquirer asks for, plus bank details.
- Set a clear display name. Customers should see your trade name when they scan, which reduces "is this the right account?" calls.
- Get a static QR for the counter and enable dynamic QR or payment links for invoices, so the amount is pre-filled.
- Connect UPI to your billing. Print a QR or link on every invoice. Billing Software by Betterwork can add a UPI payment link or QR to GST invoices and share them on WhatsApp.
- Turn on payment notifications (soundbox, app alerts or SMS) so staff can confirm payment before goods leave the counter.
- Download settlement reports regularly for reconciliation.
Static QR vs dynamic QR vs payment link: which should you use?
| Option | Best for | Pros | Cons |
|---|---|---|---|
| Static QR | Retail counter | Simple, no setup per sale | Customer types amount; mistakes possible; harder to match |
| Dynamic QR | Invoices, POS billing | Amount and reference pre-filled | Needs integration with billing system |
| Payment link | B2B invoices, remote customers | Pay from WhatsApp/email in one tap | Link must be tracked per invoice |
| VPA only | Occasional payments | No extra setup | Most error-prone; worst for reconciliation |
For B2B invoicing, a dynamic QR or payment link tied to the invoice number gives the cleanest match between payment and invoice.
How do you reconcile UPI payments with invoices?
Reconciliation means confirming that every UPI credit in your bank matches a specific invoice, and every invoice marked "paid" has a matching credit.
- Capture the UTR (unique transaction reference) for each payment, from your merchant dashboard or bank statement.
- Match by reference first. Payment links and dynamic QRs carry your invoice number, making matching automatic.
- Match by amount and date next for static QR payments, then confirm the payer's name.
- Investigate leftovers daily. An unmatched credit might be an advance, a payment for several invoices, or a customer who paid the wrong amount.
- Reconcile settlements to the bank. Check that gross receipts minus MDR equals what your bank actually credited.
- Never rely on screenshots. Confirm every credit in your own account before marking an invoice as paid.
Good reconciliation feeds directly into your receivables view; see accounts receivable management.
How does UPI interact with GST?
UPI is only a payment method; it does not change the GST on the supply. A few practical points:
- Time of supply for goods under section 12 of the CGST Act is linked to the invoice date or the date of receipt of payment, but advances for goods have been relieved from tax on receipt (see advance payment under GST). Advances for services are taxed on receipt.
- The invoice still needs every mandatory field, whether the customer pays by UPI or cash. A UPI receipt is not a tax invoice.
- Refunds made by UPI for returned goods should be backed by a credit note so your GST returns reflect the reduced value.
Handling failed, pending and duplicate UPI payments
- Pending or failed payments: Do not hand over goods or mark the invoice paid until the credit is confirmed. Ask the customer to wait for the bank's final status.
- Debited from customer but not credited to you: The customer should raise it with their own bank or UPI app; give them the transaction time and your VPA.
- Duplicate payments: Refund promptly or, with the customer's written agreement, adjust against a future invoice. Record which option you used.
- Wrong amount: Record the actual credit, show the balance due on the next reminder, and send a link for the difference.
Should you use UPI or bank transfer for large B2B invoices?
With MDR now applying to P2M payments above ₹2,000, it is worth deciding which channel you prefer for each type of customer rather than accepting whatever arrives.
| Situation | Preferred channel | Reason |
|---|---|---|
| Walk-in retail, small tickets up to ₹2,000 | UPI QR | Instant, no new MDR at this value |
| Repeat B2B orders ₹2,000–₹75,000 | UPI link or NEFT | UPI is faster; NEFT avoids MDR if your bank does not charge for inward credit |
| Large invoices ₹75,000 and above | NEFT/RTGS, or UPI with ₹300 cap | The cap limits the cost; compare with your bank's terms |
| Customers abroad | Bank transfer in foreign currency | Domestic UPI is designed for Indian accounts |
| Field collections by sales staff | Dynamic QR on a phone or POS | Amount fixed, reference attached, no cash handling |
A simple policy might read: "Below ₹2,000, UPI only. Above ₹75,000, NEFT/RTGS preferred; UPI accepted." Print the policy on quotations so customers know before they pay.
What about the cap at ₹75,000?
The ₹300 cap means MDR on a ₹75,000 payment is exactly 0.4% = ₹300, and any larger payment also costs ₹300. On a ₹3,00,000 payment, that is just 0.1%. For very large invoices UPI can therefore be cheaper as a percentage than many card options, though UPI's own per-transaction and daily limits set by banks may still require a bank transfer for big amounts.
How do you keep UPI collections secure?
Payment fraud often targets small businesses through fake payment screenshots and requests to "collect" money that actually move money out.
- Confirm every credit in your bank app or merchant dashboard before releasing goods.
- Never enter your UPI PIN to receive money. A PIN is needed only to pay, so any "request" that asks for your PIN to receive funds is a scam.
- Restrict who can see the merchant dashboard and use separate staff logins where available.
- Use a soundbox or alert at counters so staff hear real confirmations.
- Check the display name on QR stickers regularly; replace any damaged or tampered sticker.
- Report suspicious transactions to your bank immediately with the UTR.
Common mistakes when accepting UPI
- Using a personal VPA for business receipts and mixing them with personal spending.
- Accepting screenshots as proof of payment without checking the bank credit.
- Recording net settlement as the invoice receipt, leaving small false balances on customer ledgers.
- Ignoring the new MDR when pricing large B2B orders paid by UPI; compare it with NEFT/RTGS for big invoices.
- No invoice reference on payments, so month-end matching becomes guesswork.
- Treating a UPI receipt as an invoice; GST invoice rules still apply. See GST invoice format.
Key takeaways
- Use a merchant (P2M) UPI account through your bank or a payment aggregator.
- From 15 October 2026, NPCI's FAQ sets a 0.4% MDR on P2M payments above ₹2,000, capped at ₹300 at ₹75,000 and above; payments up to ₹2,000 are unaffected.
- Put a dynamic QR or payment link on every invoice to speed payment and simplify matching.
- Record the full invoice receipt and book MDR separately as an expense.
- Reconcile by UTR daily and confirm every credit in your own account.
