Extra fields a computer shop invoice needs

Serial or service tag
Laptops, monitors and printers carry serial numbers or service tags that brands use for warranty. Printing them on the invoice makes warranty claims and asset registers for business buyers straightforward.
Configuration
Processor, RAM, storage and graphics define a computer's value. A configuration line for each laptop or assembled desktop confirms what was promised and prevents disputes about downgraded parts.
Component list for assembled PCs
Assembled desktops are built from a motherboard, processor, memory, storage, cabinet and power supply. Listing the components and their serials supports part-wise warranty with each component maker.
Software and licence keys
Operating system and office licences are sometimes sold with machines. Recording the licence type and key reference shows what was supplied and separates software from hardware on the bill.
New or used
Refurbished and second-hand laptops are common. Marking each machine as new, refurbished or used, and the margin scheme where applied, explains how its taxable value was worked out.
Business buyer asset details
Companies buying several laptops need their GSTIN, and often want employee or asset tags. These details help them claim credit and maintain their fixed-asset records.

GST rules that matter for a computer shop

Computers at 18%, monitors cut from 28%

Notification 9/2025-Central Tax (Rate) lists automatic data processing machines and their units under heading 8471, covering laptops, desktops, keyboards and mice, in the 18% schedule. Television sets, computer monitors and projectors of heading 8528 were moved from 28% to 18% from 22 September 2025, as the 56th GST Council recommended. Printers of 8443, storage devices of 8523 and UPS units and other static converters of 8504 are also at 18%. A computer shop's range is now almost entirely single-rate, and any bill still charging 28% on a monitor after that date over-collects tax that has to be refunded through a credit note.

Assembled desktops as one supply

When a shop assembles a desktop from components and sells it for one price, it supplies a computer, not a bundle of parts. Since the components and the finished computer are generally at 18%, the rate does not change, but the description should be a computer with its configuration listed, under heading 8471. If the customer instead buys individual parts and assembles them, each part is billed on its own line under its own heading. Assembly charges included in the price are part of the computer's value; separately billed assembly is a service line.

Used laptops and the margin scheme

Rule 32(5) of the CGST Rules lets a dealer in second-hand goods pay tax on the margin, the difference between selling price and purchase price, when no input tax credit was taken on the purchase and the goods are sold as such or after minor processing. A shop that buys used laptops from individuals can therefore charge GST only on its margin, and no tax is payable if the margin is negative. The invoice should not show a tax amount the buyer can claim as credit in the normal way, and the purchase record of each used machine must be kept to support the margin.

E-waste and business sales

Computers are covered by e-waste rules that put duties on producers and recyclers, so a shop collecting old machines in exchange should pass them only to authorised recyclers and keep records. For business customers, issue tax invoices with GSTIN and HSN, generate e-invoices when your turnover exceeds five crore rupees, and an e-way bill when the consignment value crosses the threshold. Old machines taken in exchange do not reduce the taxable value of new ones; charge GST on the full price and show the exchange value as an adjustment. Record the serial of every exchanged machine.

Common billing mistakes

  • Continuing to bill computer monitors at 28% after they moved to 18% on 22 September 2025, over-charging every customer who bought one.
  • Selling used laptops bought from individuals with full GST on the selling price when the margin scheme under Rule 32(5) was available.
  • Billing an assembled desktop as one line without listing components and serials, which leaves part warranties impossible to claim. later.
  • Deducting the value of an old computer taken in exchange from the taxable value of the new one before computing GST.

Computer shop GST invoice: FAQ

What is the GST rate on laptops and computers?

Laptops, desktops and their input devices under heading 8471 are taxed at 18%. Computer monitors under 8528 are also at 18% from 22 September 2025, down from 28%. Printers, SSDs and UPS units are at 18% as well. The rate is the same for business and home buyers.

How is GST calculated on a second-hand laptop?

If you bought the laptop from an unregistered person or without taking input tax credit, and sell it as such, Rule 32(5) lets you pay GST only on your margin, the selling price minus purchase price. If the margin is negative, no tax is payable. Keep the purchase record for each unit.

Should an assembled PC be billed as parts or as one computer?

If you assemble and sell it for one price, bill it as a computer under heading 8471 and list the configuration and component serials in the description. If the customer buys parts separately to assemble themselves, bill each part on its own line.

Can a company claim GST credit on laptops bought from my shop?

Yes, laptops used for business are capital goods on which a registered company can generally claim input tax credit. It needs a tax invoice with its GSTIN, HSN and correct tax. For large orders, generate an e-invoice if your turnover exceeds the limit.
